Opportunities
The sales pipeline as a list or a stage board: every buyer enquiry with its stage, owner and current estimate, with filters, search and shortcuts to open, edit, delete or reopen one.
Opportunities
This is your sales pipeline: one row (or card) per buyer enquiry on a project. Use it to find a lead, see how far it has got, who is working it and what the current estimate says, and to start a new one.
Where to find it
In the sidebar, open the CRM group and choose Opportunities. The Opportunities breadcrumb at the top of every opportunity, estimate and book page brings you back here. The dashboard's sales funnel and its Price a unit launcher also open this page, and the opportunities link on a contact opens it filtered to that person.
You need the View permission on Opportunities to see the page. Without it the page shows "No access" and "You do not have permission to view opportunities. Ask your administrator."
What you see
The page header reads "The sales pipeline: leads become estimates, estimates get approved, approved estimates are booked."
Top right, a List / Board switch picks the view. The app remembers your choice in this browser, so the page opens the way you left it. It starts on List.
The filters above the list or board:
- Project: All projects or one project. Shown only when you have the View permission on Projects.
- Stage: All stages, or one of Lead, Estimate, Approval, Booked, Lost.
- Owner: Any owner or one user. The list offers the active users who hold the Edit permission on Opportunities.
- Lead source: Any source or one source from your organization's lead sources. Shown only when you have the View permission on Lookups.
- Booking: Booked or not, With a booking or Without a booking.
- Open only checkbox, ticked by default: hides Booked and Lost opportunities. It is greyed out while a stage is chosen, because the stage filter already decides what you see.
- When you arrive from a contact, a blue badge "For <name>" shows that the page is limited to that person; Clear removes it.
List view
Search with the box above the grid (placeholder "Search by name, phone, email or company"). The search matches the contact's first and last name, phone, email and company. A search also finds Lost opportunities even while Open only is ticked, so a buyer who comes back is easy to find.
| Column | What it shows |
|---|---|
| Contact | The buyer's name, which opens the opportunity, with phone and company underneath. |
| Project | The project name, which opens the project, with the preferred unit type underneath. |
| Stage | The stage badge: Lead, Estimate, Approval, Booked or Lost. |
| Owner / source | The owner's email, or "Unassigned", with the lead source underneath. |
| Current estimate | The current estimate's total, version and unit ("₹… · vN · unit"), with its status badge, or "—" when there is none. |
| Expected close | The expected close date, or "—". |
| Created | The date the opportunity was created. |
| Actions | The row's shortcut icons. |
The list opens sorted by Created, newest first. Click a column title to sort by it (Actions can't be sorted). When nothing matches the grid reads "No opportunities match".
Board view
One column per stage, with the number of opportunities in the header. While Open only is ticked you see only Lead, Estimate and Approval; choosing a stage shows that column alone. Each column shows its 50 newest cards; below them "N more in the list view" tells you how many are not shown. An empty column reads "Nothing here".
A card shows the buyer's name, the current estimate's status badge, the project, the estimate total and unit (or "Wants <unit type>", with the type in lower case, or "No estimate yet"), the owner (or "Unassigned") and the expected close date, or the created date when there is none. Click a card to open the opportunity.
The board is read-only. The footer says so: "Cards move between stages through the actions on the opportunity (estimate, approval, booking, lose / reopen); they cannot be dragged." The board has no search box; switch to List to search.
What you can do
New opportunity
Opens New opportunity, where you enter the project, the buyer and what they are looking for.
- Who: anyone with the Create permission on Opportunities. In the default roles that is the Administrator, the Sales Manager and the Sales Executive. Without the permission the button isn't shown.
Open
The first icon on a row (tooltip "Open"), a click on the buyer's name, or a click on a board card opens the Opportunity.
- Who: anyone who can see this list.
Edit
The pencil icon (tooltip "Edit") opens Edit opportunity.
- Who: anyone with the Edit permission on Opportunities.
- When it is missing: the icon is not shown on Booked or Lost rows, because a closed opportunity is read-only.
Delete
The bin icon (tooltip "Delete") asks "Delete opportunity?" with the text "The lead for <name> on <project> and its activities will be removed. The contact record stays. Opportunities with estimates cannot be deleted; mark them lost instead." Confirm with Delete. A toast says "Opportunity for <name> deleted."
- Who: anyone with the Delete permission on Opportunities. In the default roles that is the Administrator and the Sales Manager.
- When it is missing: the icon appears only on a Lead with no current estimate. Anything further along is kept for the record and closed with Mark lost on the opportunity instead. The list cannot tell whether a Lead once had estimates that are now cancelled or expired, so the icon can show on such a row; the app then refuses with "Only a Lead without estimates can be deleted. Mark the opportunity as lost instead." (the opportunity page hides Delete in that case).
Reopen
The refresh icon (tooltip "Reopen: the buyer is back") appears on Lost rows. It puts the opportunity back to Lead with its history, and a toast says "Opportunity reopened as Lead. Create a new estimate on a unit that is free now."
- Who: anyone with the Edit permission on Opportunities.
- What happens next: the old estimates stay cancelled, so price a fresh estimate. The system rule "Lost opportunity reopened: call the buyer back (system)" notifies the team and opens a "Call back" task.
List / Board
Switches the view only; nothing else changes.
Statuses
The stage badge shows where an opportunity is in the pipeline. Stages move only through actions on the opportunity, never by editing or dragging.
| Stage | Meaning | Moved by |
|---|---|---|
| Lead | An enquiry with no estimate yet. | Creating the opportunity, or Reopen on a lost one. |
| Estimate | A unit has been priced for the buyer. | Saving the first estimate. |
| Approval | The estimate has been sent for approval. | Finalizing the payment plan, or Request approval. |
| Booked | The approved estimate has been booked. | Book on the opportunity or the estimate. |
| Lost | The buyer walked away; estimates are cancelled and the unit is free again. | Mark lost on the opportunity, or cancelling its booking. |
An opportunity in Estimate or Approval drops back when its current estimate is cancelled, expires or (for the last draft) is deleted.
Things to know
- Everyone who can view opportunities sees every opportunity in the organization, whatever project they are assigned to.
- Allottee purchases are not in this list. When a society member or other allottee buys the unit their offer allots, that purchase is an opportunity too, but it is not a lead: it stays out of the pipeline and earns no commission. It shows here only when you arrive from that person's contact. You reach it from the allottee's page.
- The Owner filter offers only users who can edit opportunities, because those are the people who work leads.
- Lead sources come from Settings > Lookups, so what the Lead source filter offers depends on what your administrator has set up there.
- The dashboard funnel does not pre-filter this page. Its Lead and Estimate steps open the list, but the Stage filter stays on All stages; pick the stage yourself.
- A cancelled booking closes the opportunity as Lost, with the reason "Booking cancelled: <reason>". It can be reopened, but the same opportunity can never be booked a second time.
- Your organization can rename the grid's column titles, so your screen may use different words.
