Set the organization's profile and project defaults
Fill in the organization's name, description and invitation expiry, decide whether RERA registration gates selling, set the project defaults every project inherits (estimate validity, the chargeable areas for buyers and for members and tenants, carpet area offered, revenue method and trigger), and check the RERA escrow share, TDS and cancellation rules.
Set the organization's profile and project defaults
The Organization page holds what applies to every project unless a project overrides it on its own Settings tab. Do this soon after sign-up: correct the profile, set the project defaults on the Projects card (whether RERA registration gates selling, how long a sent estimate holds its unit, which area Per Sqft prices multiply, the carpet area offered to allottees, and the revenue method and trigger if one choice should apply everywhere) and check the statutory rules that were seeded for you: the RERA escrow share, TDS on sales and the cancellation forfeiture.
Before you start
- The GSTIN was fixed at sign-up and can't be changed here.
- The seeded rules are already in force from sign-up: 70% escrow share from 1 May 2017, TDS under section 194-IA at 1% on consideration of ₹50,00,000 or more from 1 June 2013, and a 10% forfeiture of the agreed total (excluding GST) on cancellation. Add a rule only when your policy or the law differs; never edit an old row to record a change, so older documents keep their basis.
- Permissions, in the role editor's words: the View permission on Organization Settings to open the page and the Edit permission on Organization Settings for every change. In the default roles only the Administrator holds Edit; without it the fields and toggles are disabled and the Add rule, edit and delete buttons are hidden.
Steps
- Open the account menu in the top bar (your avatar and email) and choose Settings. The Settings area opens on the first tab you may see; for an administrator that is Organization.
- Choose the Organization tab if you are not already on it. The Organization page shows eight cards, top to bottom: Profile, Security policy, AI connectors, Help assistant, Projects, RERA escrow share, TDS on sales (section 194-IA) and Booking cancellation rules.
- In Profile ("Shown to your team and on documents."), correct the Organization name (2 to 100 characters), add a Description ("Optional, up to 255 characters") and set Invitation links expire after (hours) ("1 to 720 hours (30 days)"; 72 by default). Click Save changes, which is greyed out until something changes. You see "Organization updated." and the name in the top bar refreshes. The new expiry applies to invitations sent from now on.
- On the Projects card, read the note: "Under RERA a project cannot be marketed or sold before it is registered. With this on, no estimate or booking can be made on a project until its RERA registration number and date are recorded; the setup wizard still lets you skip the step and warns instead." Leave Require RERA registration before selling on (it is on for a new organization), or switch it off if your organization sells before registration. The toggle saves the moment you flip it, with "Estimates and bookings now need the project's RERA registration." or "RERA registration is no longer enforced before selling."
- Under Estimate validity and unit hold, type the Default validity in days (1 to 365; 7 by default) and click Save, which stays greyed out until the number is valid and different from the saved one. You see "Estimates now stay valid for N days from sending." A sent estimate holds its unit for that long unless the project sets its own number of days.
- Under Chargeable area ("Which of a unit's three areas money is worked out on. Buyers and members may differ: a Per Sqft price on a buyer's estimate multiplies the buyers' area, while a member's offer (the entitlement, the allotted units, the extra area and an allottee's purchase) is measured in the members' area. A change here reaches new projects only: every existing project keeps the area it has today, to be changed on its own Settings tab, where existing offers and estimates can be reviewed before they move."), choose the Chargeable area for buyers and the Chargeable area for members and tenants: Carpet Area (Mofa) (the default for both), RERA Carpet Area or Super Built-up Area. Each list saves at once, with "Buyers are now priced on the <area> for new projects. <n> existing project(s) keep(s) the previous area; change each one under its Settings tab." or "Members and tenants are now measured on the <area> for new projects. …" (ending "Existing projects keep their own setting." when every project already had its own). To move an existing project, change it on its Settings tab: see Change the chargeable area.
- Under Carpet area offered to allottees ("On redevelopment projects, how much more carpet area (Mofa) an allottee is offered than they hold today, as a percentage; negative when the new building gives back less. Guidance only: it fills an offer that says nothing else, and every offer can be typed over. Blank = no default; a project can set its own."), type the Carpet area offered (Mofa) in "% of existing" (-100 to 200; for example 8 for +8%) or leave the box on "No default", and click Save. You see "Project defaults saved."
- Under Revenue recognition ("The revenue method and the booking event that transfers control, for every project unless it sets its own. Blank = the revenue policy of the promoter's books decides (the CA's effective-dated policy under Accounting > Revenue Recognition)."), leave Revenue method and Recognise revenue on on "Books' revenue policy" unless the CA wants one choice for every project whatever its books say. Each list saves the moment you change it, with "Project defaults saved."
- In RERA escrow share, check the row marked In force (70% from 1 May 2017 to start). Only if the regulation has changed, click Add rule: in "New escrow rule" fill Escrow share (%), Effective from (today to start) and Notes (for example "RERA 2016 section 4(2)(l)(D)"), and click Save. You see "Escrow share N% from <date> saved." and the new row appears, marked Upcoming until its date.
- In TDS on sales (section 194-IA), check the rule marked In force (1% once the consideration reaches ₹50,00,000, from 1 June 2013, to start). Only if the law has changed, click Add rule: in "New TDS rule" fill Section (194-IA to start), Effective from ("The rule applies to demands dated on or after this day."), Rate in %, Threshold in ₹ ("Consideration excluding GST at or above which TDS applies; 0 for always.") and Notes, and click Save. You see "194-IA rule from <date> saved." and the new row appears.
- In Booking cancellation rules, check the organization rule marked In force (10% of the agreed total, no GST, to start). To change the policy, click Add rule: in "New cancellation rule" keep Scope on "Organization (every project)" (or pick a project for a rule of its own), set Effective from, Forfeiture in %, Percent of (Agreed total (excluding GST) or Amount received), tick Charge GST on the forfeiture and set the GST rate if you charge it, add any Default charges with Add (a name, an amount or a percentage, and its own GST box), add Notes, and click Save. You see "Organization rule from <date> saved." (or the project's name) and the new row appears.
What happens next
- The profile name shows in the top bar and on generated documents.
- With the RERA gate on, an estimate or a booking on a project without its RERA registration number and date is refused with "This project has no RERA registration number and date on file; record them under Land & RERA before estimates or bookings (organization setting)." Leads can still be recorded.
- The default validity, the carpet area offered and the revenue method and trigger apply to every project that hasn't set its own on its Settings tab, where the hint under each field shows the value in force and where it comes from. The two chargeable areas are the exception: a change reaches only projects created from then on, because every existing project that was inheriting is stamped with the area it had. With neither the project nor the organization setting a revenue method or trigger, the promoter's books' revenue policy decides.
- The escrow rule in force on the date drives the split of every RERA sweep on its clearing date (the escrow share to the project's RERA separate account, the rest to its operative account), the warning on a receipt banked outside the collection account, the RERA accounts statement and the dashboard's RERA accounts card; a project's own RERA escrow share on its Settings tab overrides it. The TDS rule in force on the demand date sets what the buyer deducts on each demand; the cancellation rule in force on the cancellation date is what the cancellation wizard proposes, the project's rule first, then the organization's.
- Rules with a future Effective from show Upcoming and take over on that date; a rule superseded by a later one keeps governing the dates it covered.
- The two remaining cards are separate tasks: Security policy in Require two-factor authentication for everyone and AI connectors in Turn on AI connectors. Then bring in your team with Invite users and get them signed in.
If something goes wrong
- "An organization with this name already exists." under Organization name: another organization on NirmaanOne uses that name (capitals don't count); choose a different one. See Organization name already used.
- "Enter a number of hours", "Whole hours only", "At least 1 hour" or "At most 720 hours (30 days)" under the expiry field: use a whole number from 1 to 720.
- The Save beside Default validity stays greyed out and the box is red: the number must be a whole number from 1 to 365 and different from the saved value. The same beside Carpet area offered (Mofa): the number must lie between -100 and 200.
- "An escrow rule already starts on that date.", "A 194-IA rule already starts on <date>" or "A rule for this scope already starts on that date." in a rule dialog: one rule per start date (per section for TDS, per scope for cancellation). Pick another date, or edit that row with its pencil. See Escrow, TDS or cancellation rule refused.
- "Please correct the highlighted fields." in the escrow or cancellation dialog, with nothing highlighted: a number is out of range; check that the percentages lie between 0 and 100.
- "Keep at least one escrow rule; change its percentage instead.", "Keep at least one 194-IA rule; set its rate to 0 to stop deducting" or "Keep at least one organization-level rule; set its percentage to 0 to forfeit nothing." when deleting a rule: the last rule can never be deleted. See Escrow, TDS or cancellation rule refused.
- Every field and toggle is disabled: you hold the View permission on Organization Settings but not Edit; ask an administrator.

- Set up two-factor authentication and require it for everyoneHow-to
Turn on two-factor authentication for your own account with an authenticator app on My Profile, save your backup codes, sign in with a code, and then, as an administrator, require it for every user of the organization.
- Turn on AI connectors and connect an assistantHow-to
An administrator allows AI connectors for the organization; each user then adds NirmaanOne to Claude, ChatGPT or another MCP client with the server URL, allows the connection, and can review or disconnect it later.
- Record a change in law or policy as a dated ruleHow-to
When the TDS rate or threshold, the RERA escrow share or your booking cancellation policy changes, add a new rule with the date it takes effect on Settings > Organization, so documents dated before keep the old figures and those dated after use the new ones.
- Invite users and get them signed inHow-to
Invite a colleague from Settings > Users with the role they will hold, and walk them through the invitation email to their first sign-in; resend the invitation when the link has expired.
- Project readiness and the RERA gateConcept
A project is ready to sell and collect once it has a promoter entity with books, the collection, RERA separate and operative bank accounts with their ledgers, and, when the organization requires it, a RERA registration whose validity covers today; bookings and allottee purchases wait for all of it, estimates only for RERA.
- Estimate validity and the unit holdConcept
A sent estimate holds its unit (and the parking slots it picked) for that buyer until its Valid until date; the hold starts on sending, can be extended with a reason, and an hourly job expires the estimate and frees the unit the day after the date passes.
- Unit areas and the chargeable areas: Carpet area (Mofa), RERA Carpet Area, Super Built-up AreaConcept
Every unit carries up to three areas; two settings say which one money is worked out on: the chargeable area for buyers (what a Per Sqft price multiplies on a buyer's estimate) and the chargeable area for members and tenants (what a member's offer and an allottee's purchase are measured in).
- RERA accounts and the daily sweepConcept
Every buyer payment enters the project's collection account; the bank sweeps it daily, the escrow share (70% under RERA 2016, or the project's own share) to the RERA separate account and the rest to the operative account. NirmaanOne mirrors the sweep as a Contra voucher per receipt the moment it clears, records certified withdrawals from the separate account, warns on receipts banked elsewhere and reports where the money stands; it never moves the money itself.
- TDS under section 194-IAConcept
When a flat's consideration reaches the threshold, the buyer withholds 1% of every installment and deposits it with the Income Tax department instead of paying it to the developer; NirmaanOne bills the buyer the full total, shows the expected TDS and what is payable in money, and books the withheld tax only when the buyer's deposit (Form 16B / 26QB) is recorded as a TDS credit.
- Booking cancellation, forfeiture and refundConcept
Cancelling a booking reverses its demands with credit notes, posts the forfeiture and any charges against the buyer's ledger by the rule in force, creates the refund as a pending payout for the credit that is left, and frees the unit and parking; with nothing billed or received it only frees them.
- Effective-dated rulesConcept
Rules that change over time (the RERA escrow share, TDS on sales, booking cancellation forfeiture, the revenue policy and cost budgets) are kept as dated rows; the row in force on a date is the latest one starting on or before it, so old documents keep the figures they were made with.
- "Already exists" or "listed twice": the name, code, number or line must be uniqueTroubleshooting
Names, codes and numbers are unique within their scope (the organization, a project, a tower, a set of books) so that records can be told apart, and a line can appear once on a plan, offer or account; rename, reuse the existing record, or remove the duplicate line.
- Escrow, TDS or cancellation rule refused: a rule already starts on that date, or it is the last oneTroubleshooting
The RERA escrow share, TDS on sales and booking cancellation rules are effective-dated: one rule per start date and scope, and the last rule is never deleted because every sweep, demand and cancellation needs a rule in force; change the figure or add a rule from a later date instead.
