Contacts, companies and company types
A contact is a person; a company is a legal entity with people attached. The company type decides which registrations the form asks for (promoter, channel partner, vendor, contractor), and a channel partner's default commission feeds the commissions on the bookings it brings.
Contacts, companies and company types
A contact is a person: a lead, a buyer, a society member, someone at a vendor, a colleague. A company is a legal entity: the promoter that develops a project, a channel partner that brings buyers, a vendor or a contractor. People are attached to companies, and both are masters shared by CRM, projects and accounting, so a person recorded once is the same person on their opportunity, their booking, their society membership and their bank account.
How it works in NirmaanOne
Contacts
Every contact has a first name and a phone (both required), a Contact type, and optionally a prefix, last name, email, alternate phone, PAN, address and notes. The type is a lookup: seeded Lead, Customer, Tenant, Vendor, Channel Partner and User (see Lookups and their codes). The app looks some types up by their code: Tenant for society members, User for the contact every user is mirrored as (see User accounts), Lead for a buyer typed in on a new opportunity, Customer for an applicant typed in on a booking, and Channel Partner or Vendor for a new person attached to a company.
The Company on a contact is a real link: pick one of your companies and the person is attached to it (the company's People card lists them), pick another and they move, clear it and they come off. Attaching a person from the company's side fills the company on their record in the same way. Before 2026-10-08 the box was free text; such text stays visible on the contact until a company is picked.
Phone numbers and addresses need not be unique: family members and channel partners share them. A contact referenced by an opportunity, booking, society membership, co-ownership or commission cannot be deleted ("That conflicts with existing data."), and neither can a user's contact ("This contact is a user of the system; deactivate the user instead"); untick Active instead. Inactive contacts are left out of campaign audiences.
Companies
A company has a Company name (unique in the organization: "A company with this name already exists") and a Company type; everything else (legal name, entity structure, PAN, GSTIN, phone, address, notes) is optional. The type is a lookup with seeded Promoter Entity, Channel Partner, Vendor and Contractor, and its code decides which registration section the form shows and keeps:
| Type (code) | Section | Fields |
|---|---|---|
| Promoter Entity (PROMOTER) | RERA & signatory | CIN, TAN, incorporation date, RERA promoter registration no., authorized signatory and designation |
| Channel Partner (CHANNEL_PARTNER) | Channel partner | RERA agent registration no., agent registration valid until, Default commission (%), signatory |
| Vendor (VENDOR) | Vendor | vendor category, MSME / Udyam registration no. |
| Contractor (CONTRACTOR) | Contractor | trade / category, MSME / Udyam registration no., signatory |
A type you add yourself shows every typed field under "Type-specific details". Changing a company's type clears the fields of the old type on save, so no stale registration survives; nothing warns before you save.
What each type is for
- Promoter Entity: the company that develops a project. A project must name its promoter, and only a Promoter Entity can open a set of books; the promoter's books and bank accounts carry the project's money (see Bank accounts, purposes and bank ledgers).
- Channel Partner: a broker or agent. An opportunity can name the channel partner that brought it, as a company or as an individual contact. When a commission is created on the resulting booking, the partner is taken from the opportunity, and the partner company's Default commission is the percentage used when the commission names none of its own. An allottee buying their allotted unit earns no channel partner commission.
- Vendor and Contractor: suppliers and works contractors, recorded with their MSME / Udyam registration for payment terms.
People attached to a company
The People card on a company lists its directors, sales heads and other contacts, each with a designation and at most one Primary contact ("The person to reach first for this company."). Attaching a new person creates a contact of type Channel Partner for a channel-partner company and Vendor for any other; attaching an existing contact links them without changing their type. Detaching removes the link only; the contact record stays. Deleting a company removes its links too, but a company used as a promoter, channel partner on an opportunity, bank account owner or accounting entity cannot be deleted ("Company cannot be deleted: linked projects, bank accounts …"); untick Active instead.
Example
Skyline Realty, a Ghatkopar broker, brings a buyer to Sai Darshan. The sales manager:
- On Companies → New company: name "Skyline Realty", type Channel Partner. The Channel partner section appears: RERA agent registration no. A51800012345, valid until 31 March 2028, Default commission 2. On the company page, People → Attach → new person "Nilesh Parekh", designation "Proprietor", Primary contact. Nilesh is created as a contact of type Channel Partner.
- On New opportunity for the buyer Rina Mehta (a new contact of type Lead, phone required), lead source Channel Partner, channel partner company Skyline Realty.
Rina books unit B-1204 at an agreed total of ₹1,85,00,000. On the booking the accountant creates the commission, entering only the 18% GST rate; the percentage is left blank, so the app takes Skyline's default:
gross = 1,85,00,000 × 2% = ₹3,70,000.00 GST at 18% = 3,70,000 × 18% = ₹66,600.00 TDS under section 194H at the default 2% = 3,70,000 × 2% = ₹7,400.00 net payable = 3,70,000.00 + 66,600.00 − 7,400.00 = ₹4,29,200.00
Once approved, a Commissions payout run pays ₹4,29,200 into Skyline Realty's primary bank account. Had Rina instead been brought by Nilesh acting on his own, the opportunity would name him as the channel partner contact; a contact has no default commission, so the accountant would type the percentage or the gross amount.
Two years later Skyline Realty winds up. It cannot be deleted while opportunities and a bank account name it, so the sales manager unticks Active: it drops out of pickers, and every old opportunity and commission still shows who brought the deal.
