Record a society
Add the existing housing society being redeveloped, with its registration, address and roll size, and link it to its redevelopment project.
Record a society
A redevelopment project starts with the housing society being rebuilt. Record the society once, with its registration number, address and how many members are on its roll, then link it to the project. Its members become the project's tenants, and each of them can be given an offer.
Before you start
- You need the Create permission on Societies to add a society. In the default roles that is the Administrator, the Project Manager and the Rehab Officer. Without it, New society isn't shown.
- Linking the society to a project needs the Edit permission on Projects. Without it the project's society card reads "No society linked" and "Linking a society needs the Projects update permission."
- To link it, the project must already exist as a Redevelopment project. See Society & Tenants.
- Society names are unique within your organization, whatever the capitalisation.
Steps
- In the sidebar open the Projects group and choose Societies. You see the Societies list, with the search box ("Search by name, registration or city") and New society at the top right.
- Click New society. The panel New society slides in.
- Fill in the form:
- Society name: required, 2 to 150 characters ("Use at least 2 characters" / "Use at most 150 characters").
- Registration no.: optional (hint "Optional").
- Address, State, City and PIN code: all required. If you skip one you see "Address is required", "State is required", "City is required" or "PIN code is required".
- Total members: optional, the size of the society roll (a whole number). The society's page then shows "<n> recorded of <total> on the society roll".
- Click Create society. The panel closes and you see “Society "<name>" created.” The new row shows the name, "Reg. <no>" underneath when you gave one, the city with the state underneath, "0" under Members ("0 / <total>" when you gave a total) and "—" under Projects until it is linked.
- Click the society's name. Its Society page opens with the Details card (Registration no., Members recorded, PIN code, Address) and, if you hold a permission on Tenants, the empty members card, "No members yet".
- Open the redevelopment project, choose the Society & Tenants tab and, on the Link the society card, type the society's name in the search box ("Search societies by name, city or registration no."). Each match reads "<city> · <n> members". Pick it. You see “Society "<name>" linked.” The card now reads Society, "Linked to this project.", with Name, Registration no., City, Members recorded and Address, and the members card appears below it. The society's page and the Societies list now show the project as a badge.
You can also start from the project. On the Link the society card, the search list ends with Create a new society (shown with the Create permission on Societies). It opens the same form with the project's site address, state, city and PIN code already filled in, and Create society creates the society and links it in one go.
What happens next
- The society is listed under Societies and on the project's overview and header.
- Linking is also described on its own in Link a society to a project.
- Enter the member roll: Enter society members, their consent and co-owners, or Import society members from Excel.
- In the Project setup wizard, the Society step counts as done once a society is linked, and Existing members once the society has a member.
- Change on the society card swaps the linked society; Unlink removes the link at once, without confirmation. Neither deletes the society or its members.
If something goes wrong
- "A society with this name already exists." under Society name: another society in your organization has that name. Search the list for it and open it instead, or use a different name. See Society name taken (trouble.societies.society-name-taken).
- "You do not have permission to do that." when you save: your role lacks the Create permission on Societies (or the Edit permission on Projects when linking). See No permission (trouble.common.no-permission).
- The Society & Tenants tab isn't on the project: the project is a New development project. Change its Project type on Edit project, or check that you hold a permission on Societies.

Take a new project through the nine setup steps in order: basics, land and RERA, promoter and bank accounts, towers and units, society, members, offers, extras, and review, saving as you go and skipping what can wait.
- "Already exists" or "listed twice": the name, code, number or line must be uniqueTroubleshooting
Names, codes and numbers are unique within their scope (the organization, a project, a tower, a set of books) so that records can be told apart, and a line can appear once on a plan, offer or account; rename, reuse the existing record, or remove the duplicate line.
- "No access" or "You do not have permission": your role lacks a permissionTroubleshooting
Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
