Societies
The list of existing housing societies your organization works with, where you add, edit and delete societies and open one to manage its members.
Societies
The list of the existing housing societies your organization works with, typically the societies whose buildings you are redeveloping. Use it to record a society once, keep its details up to date, and open it to enter its members.
Where to find it
In the sidebar, open the Projects group and choose Societies. The Societies breadcrumb on a society's page, and on a society member's page, also brings you back here. An old link to a "tenants" page lands here too.
The sidebar item shows when you hold any permission on Societies. To see the list you need the View permission on Societies. Without it the page shows "No access" and "You do not have permission to view societies. Ask your administrator."
In the default roles:
- Administrator, Project Manager and Rehab Officer can add, edit and delete societies.
- Finance Lead, Accountant, Sales Manager, Sales Executive, Compliance Officer, Auditor, Site Engineer and Legal & Documentation can only view them.
- Front Desk has no access.
What you see
The page header reads "Existing housing societies and their members, linked to redevelopment projects."
Above the grid is a search box (placeholder "Search by name, registration or city"). It matches the society name, its registration number and its city. The list is sorted by name. With nothing to show, the grid says "No societies yet".
| Column | What it shows |
|---|---|
| Society | The society name, which opens the society's page. The registration number shows underneath as "Reg. <number>" when recorded. |
| City | The city, with the state underneath. |
| Members | How many members are recorded, then " / <total>" when the society's total membership is filled in. For example "42 / 60" means 42 of the 60 members have been entered. |
| Projects | A badge for each project the society is linked to, which opens that project. A dash when it is not linked to any. |
| Actions | A pencil (hover "Edit <name>") and a bin (hover "Delete <name>"), each shown only if you have the permission. |
The society form
New society and the pencil open the same panel, titled New society or Edit <name>. Cancel closes it without saving.
| Field | Required | What to enter |
|---|---|---|
| Society name | Yes | 2 to 150 characters. Must be unique in your organization, ignoring capitals. Too short: "Use at least 2 characters"; too long: "Use at most 150 characters". |
| Registration no. | No | The society's registration number, up to 100 characters (hint "Optional"). |
| Address | Yes | "Address is required" when blank. |
| State | Yes | "State is required" when blank. |
| City | Yes | "City is required" when blank. |
| PIN code | Yes | "PIN code is required" when blank. |
| Total members | No | The size of the society's member roll, as a whole number (hint "Optional"). It is what the members count is compared against. |
What you can do
New society
Opens the New society panel. Fill it in and click Create society. You see “Society "<name>" created.” and the society appears in the list.
- Who: the Create permission on Societies. Otherwise the button isn't shown.
- If it's refused: "A society with this name already exists." shows under Society name. Use a different name, or edit the society that already exists.
You can also create a society from a redevelopment project's Society & Tenants tab, where the form starts with the project's site address.
Edit a society
The pencil on a row (hover "Edit <name>") opens Edit <name>. Change what you need and click Save changes. You see “Society "<name>" updated.”
- Who: the Edit permission on Societies. Otherwise the pencil isn't shown.
- If it's refused: the same duplicate-name message as above.
Delete a society
The bin on a row (hover "Delete <name>") asks "Delete society?": "<name> will be removed. Societies linked to a project or holding members cannot be deleted." Click Delete. You see “Society "<name>" deleted.”
- Who: the Delete permission on Societies. Otherwise the bin isn't shown.
- If it's refused: the dialog shows what is still attached, for example "Society cannot be deleted: linked projects, tenants". "Tenants" here means the society's members. Unlink the society from each project and remove its members first.
Open a society
Click the society name to open its page, with its details and its members. See Society.
Things to know
- A society is recorded once and linked to projects. The society and its members live on their own, not inside a project. A redevelopment project then links to the society on its Society & Tenants tab, and the society's members become that project's allottees.
- The members count is what has been entered, not the roll. Members counts the member records you have entered. Total members is only a figure you type, so the two show how far the data entry has got.
- Deleting is for mistakes. A society that is linked to a project or has members can't be deleted, so a society in use is never lost by accident.
- Landowners and PAP tenants are not listed here. They belong to a project, not to a society, and are kept on the project's Society & Tenants tab.
- There is no Excel import or export for the society list itself. Members can be imported and exported from a society's page.

- Allottees: society members, landowners and PAP tenantsConcept

- Society cannot be deleted: projects link it or members existTroubleshooting
A society stays on file while any project is linked to it or any member is recorded under it; unlink it from every project and remove its members first, and a society whose members already have offers cannot be deleted at all.
- "Already exists" or "listed twice": the name, code, number or line must be uniqueTroubleshooting
Names, codes and numbers are unique within their scope (the organization, a project, a tower, a set of books) so that records can be told apart, and a line can appear once on a plan, offer or account; rename, reuse the existing record, or remove the duplicate line.
