New opportunity

Start a lead: the project, the buyer (a new person or an existing contact), where the enquiry came from, who works it, any channel partner to credit, and what the buyer is looking for.

New opportunity

Use this page when a buyer enquires about a project: a walk-in, a call, a broker referral. You record the project, the person, the source and their requirements, and the opportunity starts as a Lead.

Where to find it

Click New opportunity on the Opportunities page, or use the New opportunity launcher on the dashboard. The breadcrumbs read Opportunities > New.

Opening the page needs the View permission on Opportunities. Creating needs the Create permission on Opportunities; without it the page reads "You can view this opportunity but not change it.", the fields are greyed out and there is no Create opportunity button, only Back.

Before you start

  • The project must exist, and you need the View permission on Projects to pick it. Without that permission the page warns "Picking a project needs the Projects permission."
  • To pick an existing person you need the View permission on Contacts; otherwise you can only type a new person.
  • Lead sources, contact types, unit types and company types come from Lookups. A new buyer is saved as a contact of the Lead contact type, which must exist there.

What you see

The header reads "Start a lead: the project, the person asking and what they are looking for." The form has three sections.

Project & contact

"Which development the enquiry is for and who is asking."

  • Project (required, placeholder "Choose…"). Leaving it empty shows "Choose a project".
  • Contact: a New person / Existing contact switch (the switch appears only with the View permission on Contacts).
    • New person: Prefix, First name (required), Last name, Phone (required), Email (Optional), Alternate phone (Optional) and PAN (Optional). Errors: "First name is required" and "Enter a phone number (at least 5 digits)".
    • Existing contact: search and pick the person (placeholder "Search by name, phone or email"; each match shows the phone and contact type). Leaving it empty shows "Pick a contact".
  • If the existing contact you pick already has a Lost opportunity on the chosen project, a warning appears: "This buyer already has a lost opportunity on this project (lost on <date>: <reason>). If they are back, reopen it instead of creating a new one: its history stays together, and the new estimate starts fresh." It offers Reopen it and Open the lost opportunity. It is a warning, not a block: you may still create a new one.

Source & owner

"Where the lead came from, who works it, and any channel partner to credit."

  • Lead source: one of your organization's lead sources. Without the View permission on Lookups the field is greyed out with the hint "Needs the Lookups permission."
  • Assigned to (placeholder Unassigned): the user who will work the lead. The list offers active users who hold the Edit permission on Opportunities; anyone who can open this page can see it.
  • Channel partner: a search box (placeholder "Search channel partners…") over active companies of the Channel Partner type; hint "Optional; only companies of the Channel Partner type are listed."; when nothing matches, "No channel partner matches". At the foot of the list, Create new channel partner (shown with the Create permission on Companies and the View permission on Lookups, which supplies the company type) opens the "New channel partner" panel. Without the View permission on Companies the field reads "Needs the Companies permission to pick or create one."
  • Partner's contact person: the people attached to the chosen partner, shown as "<name> · <designation>" (hint "People attached to the chosen partner."; before a partner is picked, "Pick the channel partner first."; when the partner has nobody yet, "No one attached yet"). Attach (tooltip "Attach a person to this channel partner", shown with the Edit permission on Companies once a partner is picked) adds a person to the partner on the spot. Changing the partner clears the person, because a person belongs to one company.

Requirements

"What the buyer is looking for; all optional and refined as the conversation goes."

  • Preferred unit type (placeholder Any): the unit types that suit the project's property type.
  • Preferred tower (placeholder Any): the project's towers. Before a project is chosen the hint reads "Pick a project first."; without the View permission on Towers, Floors & Units it reads "Needs the Structure permission."
  • Budget from / Budget up to (₹). Error when reversed: "Must be at least the minimum budget".
  • Carpet area (Mofa) from / Carpet area (Mofa) up to (sqft). Error when reversed: "Must be at least the minimum area".
  • Floor from / Floor up to. Error when reversed: "Must be at least the lowest floor"; fractions give "Whole numbers only".
  • Parking slots needed (Optional, 0 to 20; "Must be at most 20").
  • Facing preference (placeholder Any): East, West, North, South, North-East, North-West, South-East, South-West, Garden view, Road facing, Sea view or Pool view.
  • Expected close (Optional).
  • Notes (Optional).

Money and area fields accept at most two decimals ("Use at most 2 decimal places").

What you can do

Create opportunity

Saves the lead. A toast says "Opportunity for <name> created." and the new opportunity opens.

  • Who: anyone with the Create permission on Opportunities.
  • What happens next: a new person is saved as a contact of the Lead type; the opportunity starts at stage Lead with its first stage-history row; the timeline gets a system entry "Opportunity created for <first name> on <project>". The system rule "New lead: first call (system)" notifies the Sales Managers and opens a "First call" task. The rule "New lead: assign round-robin (system)" ships switched off; an administrator can turn it on under Rules.
  • Errors you may see: "That tower does not belong to this project." if the tower and project disagree; "assigned_to must be an active user of this organization" if the owner is inactive.

Create partner

In the "New channel partner" panel: "Registers the broker as a Channel Partner company. Registrations, address and people can be completed from Companies later." Fields: Company name (required; empty gives "Company name is required"), Phone, Email, City, RERA agent registration no. and Default commission % (all Optional). Create partner saves the company, a toast says Channel partner "<name>" created. and the new partner is selected on the form.

  • Who: anyone with the Create permission on Companies and the View permission on Lookups, provided the Channel Partner company type exists in Lookups.

Attach

Next to Partner's contact person, opens a panel to attach a new person to the chosen partner company; the person then appears in the list.

  • Who: anyone with the Edit permission on Companies.

Reopen it

In the lost-opportunity warning: reopens that opportunity as a Lead and opens it, instead of creating a duplicate.

  • Who: anyone with the Edit permission on Opportunities. Open the lost opportunity is available to everyone.

Cancel

Returns to the Opportunities list without saving.

Things to know

  • Reopen rather than duplicate. A returning buyer's calls, visits and lost reason are all on the old opportunity. Reopening keeps that history in one place; the new estimate still starts fresh, because the old ones stay cancelled.
  • The project and person are fixed once saved. You can change everything else later on Edit opportunity; a different project or buyer means a new opportunity.
  • Requirements drive the unit picker. When you later price a unit, the units that match the unit type, tower, floors, area and facing you enter here are ringed on the availability grid.
  • A channel partner earns commission. Naming the partner here is what lets the booking credit them later.
  • The owner list can be empty when no active user holds the Edit permission on Opportunities or nobody has accepted their invitation yet; ask your administrator.
  • If the Lead contact type is missing from Lookups, saving a new person fails with "The 'Tenant' contact type is not configured. Ask an administrator to add it under Lookups." (the message names the wrong type; it is the Lead type that is missing).
