Activities

The opportunity's timeline: calls, site visits and meetings logged by the team, alongside the locked entries the system writes for stage changes, estimates and bookings.

Activities

The Activities tab is the diary of an opportunity. Log every call, site visit, meeting, email or WhatsApp exchange with the buyer, set the next follow-up, and read the entries the system adds on its own as the deal moves.

Where to find it

Open an opportunity and choose the Activities tab, or click Timeline on the Overview's Activity card. The tab is shown to everyone who can open the opportunity (the View permission on Opportunities).

What you see

Site visits card

Above the activities: When (scheduled, and the visited time once done), Visitors, Conducted by, Transport, Status (Scheduled / Completed / No Show / Cancelled, a dropdown with the Edit permission), Feedback (stars for the rating and the text). Schedule visit opens the form: When, Conducted by, Status, Visitors, Transport, Rating (1 to 5), Feedback, Notes. Scheduling and completing a visit each add a Site Visit activity below.

Activities card

The card is headed "Activities" with the note "Newest first. Locked rows are written by the system (stage changes, estimates, bookings)."

Above the grid:

  • Activity type: All types or one type. System types are marked "(system)". Shown only with the View permission on Lookups.
  • Hide system entries checkbox: shows only the entries people logged.
Column What it shows
When Date and time of the activity.
Type The activity type badge; system rows carry a small lock icon.
Summary The summary, with "Estimate vN" and the notes underneath when present.
Follow-up The next follow-up date, or "—".
(actions) Pencil and bin icons on rows people logged.

The grid opens newest first and has no search box. When nothing has been logged it reads "Nothing logged yet".

What you can do

Log activity

Opens the "Log activity" panel:

  • Type (required, placeholder "Choose…"; hint "Call, site visit, meeting, email or WhatsApp."). Only the types people may use are listed. Empty gives "Choose an activity type".
  • Summary (required, placeholder "e.g. Site visit with family, liked 12th floor"). Empty gives "Summary is required".
  • When (required, pre-filled with now). Empty gives "Enter the date and time".
  • Next follow-up (Optional).
  • Related estimate (Optional, placeholder None): one of this opportunity's versions, shown as "Version N · <status> · <unit>".
  • Details (Optional).

Log activity saves it and a toast says "Activity logged."; Cancel closes the panel.

  • Who: anyone with the Edit permission on Opportunities. Without it the button isn't shown.
  • Without the View permission on Lookups the panel warns "Choosing an activity type needs the Lookups permission." and offers no types, so the activity cannot be saved; ask your administrator for that permission.

Edit activity

The pencil icon opens the same panel, titled "Edit activity"; Save changes stays greyed out until you change something. A toast says "Activity updated."

  • Who: anyone with the Edit permission on Opportunities.
  • When it is missing: on system rows, which cannot be edited.

Delete activity

The bin icon asks "Delete activity?" ("<summary> will be removed from the timeline.") and removes the entry. A toast says "Activity deleted."

  • Who: anyone with the Edit permission on Opportunities.
  • When it is missing: on system rows.

Things to know

  • System entries are the audit of the deal. The app writes them for stage changes, estimates created, sent, finalized, approved, rejected, cancelled or extended, unit and parking holds, assignments and bookings. They cannot be added, edited or deleted: "System activities are written by the application and cannot be added, edited or deleted."
  • The related estimate must belong to this opportunity; otherwise you see "That estimate belongs to a different opportunity."
  • The cold-lead nudge watches the opportunity, not this diary. The system rule "Cold leads: weekly nudge (system)" runs every Monday and flags opportunities still at Lead or Estimate whose record has not changed for 7 days to the owner and the Sales Managers, with a follow-up task for the owner. Logging an activity does not count as a change to the opportunity itself.
  • Activity types are a lookup. Your administrator manages the user types under Lookups; the system types are seeded and locked.
  • The Overview tab's Activity card shows only the latest entry and the count; this tab is the full list.
