Campaigns
The list of every email campaign with its status and recipient counts, the way into the campaign editor, and the link to the unsubscribe list.
Campaigns
This is the list of every email campaign your organization has created: launches, offers and reminders sent to an audience of contacts and leads. Use it to see how a campaign is doing, open it to work on it, start a new one, or reach the unsubscribe list.
Where to find it
In the sidebar, open the CRM group and choose Campaigns. The Campaigns breadcrumb on the campaign editor and on the Unsubscribes page also brings you back here. Links to a campaign from the audit log or a notification open the campaign editor directly.
You need the View permission on Campaigns to see the list. Without it the page shows "No access" and "You do not have permission to view campaigns. Ask your administrator." In the default roles every role except the Site Engineer, Front Desk and Legal & Documentation can view campaigns.
What you see
The page header reads "Email a launch, an offer or a reminder to an audience of contacts and leads. Every recipient gets the message merged for them, with an unsubscribe link."
Above the grid you have:
- Status filter (placeholder "Any status"): Draft, Scheduled, Sending, Sent or Cancelled.
- Project filter (placeholder "Any project"): the project a campaign was tagged with. The list of projects needs the View permission on Projects; without it the filter offers nothing.
- Search (placeholder "Search campaigns"): matches the campaign name and its description.
The grid columns:
| Column | What it shows |
|---|---|
| Campaign | The name, which opens the campaign editor. Under it, the email template's name (or "No template") and, after " · ", the project when one is tagged. |
| Status | The status badge. A Scheduled campaign shows the time it goes out underneath; a Sent campaign shows when it completed. |
| Recipients | The number of people on the recipient list. Under it, "N sent", then " · N failed" and " · N skipped" when those counts are not zero. |
| Created | When the campaign was created. |
| (unnamed) | The row's action icons. |
The list opens sorted by creation date, newest first. Click a column title to sort by it (the action column can't be sorted). When there are no campaigns the grid reads "No campaigns yet".
What you can do
New campaign
Opens the New campaign page, where you name the campaign, pick the email template and define the audience.
- Who: anyone with the Create permission on Campaigns. In the default roles that is the Administrator and the Sales Manager. Without the permission the button isn't shown.
Unsubscribes
The text link next to New campaign opens the Unsubscribes page, the list of contacts who will not receive campaign email.
- Who: anyone who can see this list.
Open
The pencil icon on a row (tooltip "Open <campaign name>"), or a click on the campaign name, opens the campaign editor.
- Who: anyone who can see this list.
Delete
The trash icon on a row (tooltip "Delete <campaign name>") asks "Delete campaign": "Delete <campaign name>? Campaigns that already sent mail are kept for their log." Confirm with Delete. The campaign and its recipient list are removed and a message confirms "<campaign name>" deleted.
- Who: anyone with the Delete permission on Campaigns. In the default roles that is the Administrator and the Sales Manager.
- When it is hidden: the icon appears only on Draft, Scheduled and Cancelled rows. A Sending or Sent campaign can't be deleted; if a delete is attempted anyway the dialog shows "A campaign that has sent mail is kept for its log".
Statuses
- Draft: created but not sent. Everything can still be changed.
- Scheduled: Send was used with a future time; the campaign goes out at that time.
- Sending: mail is going out now.
- Sent: every recipient has been processed. Final.
- Cancelled: stopped with Cancel campaign. Final.
The campaign editor explains which action moves a campaign from one status to the next.
Things to know
- Sent mail keeps its log. A campaign that has sent, or is sending, mail can't be deleted so the per-recipient log (who got the mail, who failed, who was skipped) stays available.
- A cancelled campaign can be deleted even if some mail went out. The delete rule looks only at the Sending and Sent statuses. If you cancel a campaign midway and then delete it, the log of the mail already sent goes with it.
- The Project filter is a tag, not an audience. Tagging a campaign with a project lets the project name appear in the mail and groups campaigns in this list. It does not decide who receives the mail; only the audience in the editor does.
- Recipient counts add up. The Recipients number is the whole list; the line under it shows how many were sent, failed or skipped, and whatever is left is still pending.
- Your organization can rename the grid's column titles, so your screen may use different words.
