Issue, accept and sign the buyer's termsheet

Take the booking's termsheet from Draft to Issued, Accepted and Signed on the Termsheet & schedule tab, optionally emailing the term sheet document through the seeded workflow rule.

Issue, accept and sign the buyer's termsheet

The termsheet is the buyer's copy of the deal: the agreed charges and the installments in which they fall due, with GST, the TDS the buyer deducts under section 194-IA, and what is payable to the developer. It is created in Draft with the booking. Issue it once the schedule is right, then record the buyer's acceptance and signature. An optional workflow rule emails the term sheet document when it is issued.

Before you start

  • The booking exists and is Active: Book a unit. The termsheet's schedule comes from the finalized payment plan, dated from the booking date; check it before issuing, and rebuild it with Regenerate schedule if the plan changed (Regenerate a schedule).
  • You need the Edit permission on Bookings: in the default roles the Administrator, the Sales Manager and Legal & Documentation. Without it, or on a cancelled booking, the buttons aren't shown.
  • To email the term sheet on issue, before you issue: publish "Term sheet (standard)" under Settings > Documents > Templates (the publish permission on Document Templates), then under Settings > Workflows > Rules switch on "Buyer term sheet issued: email it (system)" with its Active switch (the Edit permission on Workflow Rules). The rule ships switched off and needs the buyer to have an email address. See Rules.

Steps

  1. Open the booking and choose the Termsheet & schedule tab (the third tab), or click Schedule on the Termsheet card of the Booking overview. The Termsheet card shows a Draft badge, "The agreed charges and the payment schedule for <booking no>.", the buttons Issue and Regenerate schedule, and the figures Agreed, Scheduled, Paid, Offered carpet area (Mofa) and Payment plan ("v<n> · <summary>"). Below it, the Payment schedule table lists each installment. See Termsheet & schedule.
  2. Check the installments: Due (a date, "On <stage>" for a construction-linked installment, or "At possession"), Total amount, GST, TDS ("−₹…" with the rate, or "—" when none applies) and Payable to developer. To move a date, click the pencil on a Pending installment ("Edit installment <n>"), set the Due date and an optional Note, and click Save. You see "Installment <n> updated." and the row carries a Manual badge, which keeps it safe from a later regenerate.
  3. Click Issue. You see "Termsheet issued." The badge reads Issued, Issued shows today's date, and the buttons change to Mark accepted, Mark signed and Reopen. No letter is generated by the button itself; the workflow rule, if switched on, generates and emails the term sheet document.
  4. When the buyer confirms the terms, click Mark accepted. You see "Termsheet marked accepted." and the badge reads Accepted. This step is optional; you can sign straight from Issued.
  5. Click Mark signed. The dialog "Mark termsheet signed" opens with Signed on and the hint "Leave empty for today.".
  6. Set Signed on if the signature is dated earlier, then click Mark signed. You see "Termsheet marked signed." The badge reads Signed, Signed shows the date, and only Regenerate schedule remains among the buttons.

What happens next

  • With the rule "Buyer term sheet issued: email it (system)" switched on, issuing generates the term sheet document from the published "Term sheet (standard)" template and emails it to the buyer ("Your term sheet for <project>"). The document is filed against the termsheet, not the booking, so look for it under Settings > Documents > Generated documents rather than on the booking's Documents tab.
  • The schedule is what demands bill: on the Demands & money tab, Raise demand picks the installments that are due (Demands & money). Demand runs do the same across the project on a schedule.
  • A Signed termsheet can't be reopened. Reopen on an Issued or Accepted one asks "Reopen termsheet?" ("The termsheet goes back to Draft and its issued date is cleared, so the schedule can be changed and issued again."); confirm with Reopen and you see "Termsheet reopened as Draft.". Regenerate schedule works in every status except Cancelled, and warns "This termsheet is <status>. Regenerating changes the schedule the buyer has already seen."
  • Cancelling the booking cancels the termsheet and its rows with it.
  • Record the agreement details on the booking overview with Edit when the paperwork is done (Book a unit, step 7).

If something goes wrong

  • "Cannot issue a <status> termsheet", "Cannot accept a <status> termsheet" or "Cannot sign a <status> termsheet" in an alert on the card: someone else moved the termsheet on while your screen was open. Refresh the page and follow the buttons it now shows. See Termsheet status has moved on, or it is already signed (trouble.bookings.termsheet-status-changed).
  • Reopen isn't shown on a Signed termsheet, or "Cannot reopen a <status> termsheet": a signed termsheet stays as agreed; use Regenerate schedule to change the schedule, or cancel the booking. See Termsheet status has moved on, or it is already signed (trouble.bookings.termsheet-status-changed).
  • The buttons are missing and the booking's overview shows it as Cancelled, or "This booking is cancelled and can no longer be changed.": a cancelled booking's termsheet is cancelled too. See Booking is cancelled or its schedule rows are no longer Pending (trouble.bookings.booking-locked).
  • The buttons are missing on an Active booking: your role lacks the Edit permission on Bookings. See No permission (trouble.common.no-permission).
  • "Installment <n> has no Pending rows left to edit" when moving a date: money has already been placed on it, or it was billed; only pending installments move.

  • TDS under section 194-IAConcept

When a flat's consideration reaches the threshold, the buyer withholds 1% of every installment and deposits it with the Income Tax department instead of paying it to the developer; NirmaanOne bills the buyer the full total, shows the expected TDS and what is payable in money, and books the withheld tax only when the buyer's deposit (Form 16B / 26QB) is recorded as a TDS credit.

  • Payment plans: lumpsum, cadence, custom and construction-linkedConcept

A payment plan says how the buyer's total is collected: all at once, in equal installments on a cadence, on agreed dates, or as construction stages are achieved; it lives on the estimate as numbered versions, is finalized with the price for approval, and becomes the booking's schedule.

  • Termsheet cannot be issued, accepted, signed or reopened: its status has moved on, or it is already signedTroubleshooting

The buyer's termsheet moves Draft, Issued, Accepted, Signed in order, and only an Issued or Accepted one can go back to Draft; when your screen is stale, or the termsheet is Signed or Cancelled, the action is refused with "Cannot <action> a <status> termsheet".

  • Booking is cancelled or its schedule rows are no longer Pending: the change is refusedTroubleshooting

A cancelled booking accepts no edits, demands, receipts, commissions or reschedules, and on a live booking only Pending schedule rows can be re-dated; paid, partly paid, waived and cancelled rows stay as they are, and the payment plan of a booked estimate is changed by regenerating the termsheet, never by cancelling the plan.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
