Record the token, agreement and registration

Note the token amount, the agreement date and number and the registration date on an active booking from its Edit panel, once the paperwork with the buyer is done.

Record the token, agreement and registration

A booking is created with only its date and notes; the token, the agreement for sale and its registration come later, as the paperwork with the buyer is completed. Record them on the booking overview so the booking carries the agreement number and dates that the rest of the office refers to. Nothing else on a booking can be edited: the unit, the applicant, the agreed amount and the payment plan are fixed once booked.

Before you start

  • The booking exists and is Active: Book a unit. A cancelled booking can't be edited, and Edit isn't shown on it.
  • You need the Edit permission on Bookings: in the default roles the Administrator, the Sales Manager and Legal & Documentation. Without it Edit isn't shown.
  • Have the agreement number as registered. It must be unique across your organization's bookings; the app refuses a number that is already on another booking.

Steps

  1. Open the booking from the Bookings list, or click Open booking in the header of its opportunity. The Booking overview shows the Dates & notes card (Booking date, Agreement date, Agreement no., Registration date, Created, Updated, Notes) and the Money card with Agreed total, Scheduled, Paid, Token and the estimate. Edit sits in the header next to Cancel booking.
  2. Click Edit. The panel "Edit <booking no>" slides in with Token amount, Agreement date, Agreement no., Registration date and Notes, and the note "The unit, applicant, agreed amount and payment plan are fixed; regenerate the schedule from the Termsheet tab or cancel the booking to change them."
  3. Enter the Token amount in ₹ (hint "Optional"; not below 0). This is a note of the token agreed or received with the booking. It doesn't create a receipt and doesn't count towards Paid: the money itself is recorded as a receipt against a demand on the Demands & money tab.
  4. Enter the Agreement date ("Optional") and the Agreement no. ("As registered; unique across the organization's bookings"). The number can be up to 100 characters.
  5. Enter the Registration date ("Optional") and any Notes ("Optional", up to 2000 characters).
  6. Click Save changes (greyed out until you change something). You see "Booking <no> updated." The panel closes, Dates & notes now shows the agreement and registration details, and Money shows the Token. Only the fields you changed are saved.

What happens next

  • The change is recorded in the booking's history: click the clock icon (History, "Who changed this record, what and when") in the header to see who set which field (Record history).
  • Nothing is posted to the books and none of the seeded workflow rules reacts to these fields; they are reference data for the booking.
  • You can come back and change any of them while the booking is Active.
  • Carry on with the buyer's paperwork: Issue, accept and sign the buyer's termsheet, then raise demands from the Demands & money tab. Generated documents for the booking (allotment letter, agreement) live on the Documents tab.

If something goes wrong

  • "Agreement number <no> is already on another booking" in the panel's banner: the number you typed is registered on a different booking of your organization. Check the number, or find the other booking on the Bookings list. See Agreement number already used (trouble.sales.agreement-number-taken).
  • Edit isn't shown and the header shows the booking as Cancelled (banner "Cancelled on <date>: <reason>"), or saving answers "This booking is cancelled and can no longer be changed.": a cancelled booking accepts no edits. See Booking is cancelled or its schedule rows are no longer Pending (trouble.bookings.booking-locked).
  • Edit isn't shown on an Active booking: your role lacks the Edit permission on Bookings. See No permission (trouble.common.no-permission).
  • Save changes stays greyed out: nothing has changed yet; edit a field first.

  • Booking: agreed total, applicants and sharesConcept

A booking is the closed deal on one unit for one opportunity, made from the current Approved estimate: it fixes the agreed total, numbers itself by financial year, books the unit and parking, and names the primary applicant and the co-applicants with their ownership shares.

  • "Already exists" or "listed twice": the name, code, number or line must be uniqueTroubleshooting

Names, codes and numbers are unique within their scope (the organization, a project, a tower, a set of books) so that records can be told apart, and a line can appear once on a plan, offer or account; rename, reuse the existing record, or remove the duplicate line.

  • Booking is cancelled or its schedule rows are no longer Pending: the change is refusedTroubleshooting

A cancelled booking accepts no edits, demands, receipts, commissions or reschedules, and on a live booking only Pending schedule rows can be re-dated; paid, partly paid, waived and cancelled rows stay as they are, and the payment plan of a booked estimate is changed by regenerating the termsheet, never by cancelling the plan.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
