Reopen a lost opportunity

Bring a lost buyer back as a Lead with their history intact, from the opportunity, the list or the new-opportunity notice, and price a fresh estimate on a unit that is free now.

Reopen a lost opportunity

A buyer who dropped out sometimes comes back. Rather than creating a second opportunity, reopen the lost one: it returns to Lead with its contact, requirements, activities and stage history in one place. The estimates that were cancelled when it was lost stay cancelled; you price a fresh estimate on whichever unit is free now.

Before you start

  • The opportunity is Lost (Mark an opportunity lost). A Booked opportunity isn't lost; a booking is undone by cancelling it.
  • You need the Edit permission on Opportunities: in the default roles the Administrator, the Sales Manager, the Sales Executive and the Front Desk. Without it neither Reopen nor Reopen it is shown.
  • To price the new estimate afterwards you need the Create permission on Estimates.
  • For an allottee's purchase (an opportunity started from a tenant's offer) reopening is allowed only while the unit is still allotted to them and no other purchase of that unit is open.

Steps

  1. Find the opportunity on Opportunities. Lost rows are hidden while Open only is ticked (the default): untick it, or set the Stage filter to Lost. A search by name, phone, email or company finds lost opportunities regardless. The row carries the Lost badge and, at the end, a Reopen icon (tooltip "Reopen: the buyer is back").
  2. Open the opportunity. The overview shows an amber banner "Lost on <date>: <reason>", and the header offers Reopen; Edit, Assign, New estimate and Mark lost are absent. The Estimates tab lists the earlier versions, all Cancelled.
  3. Click Reopen (in the header, or the row's icon on the list). You see "Opportunity reopened as Lead. Create a new estimate on a unit that is free now." The stage badge reads Lead, the banner disappears, and the header again offers Edit, Assign, New estimate and Mark lost.
  4. Alternatively, if you are already filling in a New opportunity for the same person and project (an Existing contact), the form shows the notice "This buyer already has a lost opportunity on this project (lost on <date>: <reason>). If they are back, reopen it instead of creating a new one: its history stays together, and the new estimate starts fresh." Click Reopen it: the same toast appears and the reopened opportunity opens, without a new one being created. Open the lost opportunity shows it first if you want to look before deciding. The notice is a warning only; you can still create a separate opportunity.
  5. Open the History tab (Stage history). The top entry reads Lost → Lead with the note "reopened", above the earlier entry into Lost with its reason.
  6. Click New estimate and price a unit that is free now: Price a unit for a buyer. The wizard starts blank; nothing is carried over from the cancelled versions, which stay on the Estimates tab for the record.

What happens next

  • The lost reason and the closing date are cleared, and the timeline gets "Reopened; create a new estimate".
  • The seeded rule "Lost opportunity reopened: call the buyer back (system)" notifies the owner and the Sales Managers ("Reopened: <name> (<project>)", "The buyer is back. Earlier estimates stay cancelled: price a new estimate on a unit that is free now.") and opens the task "Call back: <name>", due tomorrow, for the owner, or for the least-loaded Sales Executive when the opportunity has no owner (Tasks).
  • The old estimates stay Cancelled: none of them can be sent, approved or booked again, and the unit they held is whatever it is now. The tasks closed when the opportunity was lost stay Cancelled too; the "Call back" task is the only new one. If the same unit is still Available, it can simply be picked again on the new estimate.
  • An opportunity lost before 28 September 2026 may still carry a live estimate from that time; such a one comes back as Estimate instead ("Opportunity reopened as Estimate.").
  • An opportunity that was closed by cancelling its booking comes back as Lead too and can be priced again, but it can't be booked a second time: it keeps its cancelled booking (Open booking stays in the header), Book doesn't appear, and the app refuses a second booking ("This opportunity already has a booking."). For that buyer, create a new opportunity instead.

If something goes wrong

  • "Only a lost opportunity can be reopened.": someone reopened it already, or it was never lost; refresh the page. See Opportunity is booked or lost: its stage decides (trouble.sales.opportunity-cannot-be-deleted).
  • "Another purchase of this unit is already open" on an allottee's purchase: the unit already has an open purchase opportunity; work that one instead. "This unit is no longer allotted to the allottee on this project": the offer no longer allots the unit to them, so the purchase can't come back. See Purchases cannot start yet (trouble.projects.purchases-cannot-start).
  • Reopen isn't shown on a lost opportunity: your role lacks the Edit permission on Opportunities. See No permission (trouble.common.no-permission).
  • The lost opportunity doesn't appear on the list: Open only is ticked; untick it or search by the buyer's name.

  • Mark an opportunity lostHow-to

Close a buyer's enquiry with a reason when they drop out: every live estimate is cancelled, the unit and parking slots held for them go back to stock, and the opportunity can be reopened if they return.

  • Price a unit for a buyerHow-to

Create the first estimate on an opportunity: pick the unit on the availability grid, any parking slots, a unit pricing plan or hand-added charges with overrides and GST, set the validity and save it as a draft.

  • Capture and work a leadHow-to

Create an opportunity for a buyer's enquiry on a project, assign it an owner, log the calls, site visits and follow-ups on its timeline, and keep the requirements up to date until it is ready to be priced.

  • Cancel a bookingHow-to

Cancel a booking with the four-step cancellation wizard: see which demands are reversed, set the forfeiture and charges the rule suggests, set the refund, and confirm, which releases the unit and parking slots, marks the opportunity Lost and posts every entry in one go.

  • Split the entitlement and start the allottee's purchasesHow-to

Decide how the entitled area falls on each allotted unit and how much of the extra area the allottee pays for, then open a purchase per unit and price it through the usual estimate, approval and booking.

  • Opportunity stages, lead sources and system activitiesConcept

An opportunity moves through Lead, Estimate, Approval and Booked (or Lost) only through the actions taken on it; every move is written to its stage history and its timeline, where locked system activities sit beside the calls and visits the team logs.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Opportunity cannot be deleted, marked lost, reopened or worked: its stage decidesTroubleshooting

Only a Lead with no estimates can be deleted; anything further along is marked lost instead. A booked opportunity is closed only by cancelling its booking, a lost one must be reopened before it can be priced or booked, and a buyer who comes back is reopened rather than entered again.

  • "Purchases cannot start yet": the offer, its split or the project is not readyTroubleshooting

An allottee's purchases of their allotted units open only from an issued, accepted or signed offer that allots units, records the entitled area with a split that adds up, carries no Differential Area Cost, and sits on a project that is ready to sell and collect; a purchase then stays tied to its allotted unit and the allottee as buyer.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
