Mark an opportunity lost

Close a buyer's enquiry with a reason when they drop out: every live estimate is cancelled, the unit and parking slots held for them go back to stock, and the opportunity can be reopened if they return.

Mark an opportunity lost

When a buyer drops out, mark the opportunity lost with the reason. This is the only way to close an enquiry that has estimates: the estimates are cancelled, any approval request is withdrawn, and the unit and parking slots held for the buyer go back to Available so someone else can be quoted. The record stays, with its timeline, and can be reopened if the buyer comes back.

Before you start

  • The opportunity is open: Lead, Estimate or Approval. A Booked opportunity is closed by cancelling its booking instead (Cancel a booking).
  • You need the Edit permission on Opportunities: in the default roles the Administrator, the Sales Manager, the Sales Executive and the Front Desk. Without it Mark lost isn't shown.
  • Decide whether to lose or delete. A Lead that never had an estimate can be removed outright with Delete ("Delete opportunity?": "The lead for <name> on <project> and its activities will be removed. The contact record stays. Opportunities with estimates cannot be deleted; mark them lost instead."), which needs the Delete permission on Opportunities. Marking lost keeps the history and is the right choice once anything was priced.

Steps

  1. Open the opportunity from the Opportunities list. The header of the opportunity shows its stage badge and, towards the right end of the actions (only Delete can follow it), Mark lost. It is offered on every open stage.
  2. Click Mark lost. The dialog "Mark as lost?" opens: "The opportunity moves to Lost. Its estimates are cancelled and any unit or parking they held goes back to stock. If the buyer comes back, reopen it: it returns as a Lead with its history, and a new estimate starts fresh." with a Reason field (placeholder "e.g. Chose a competitor, budget mismatch").
  3. Type the Reason (required, up to 255 characters) and click Mark lost. You see "Opportunity marked as lost." The stage badge reads Lost, an amber banner reads "Lost on <date>: <reason>", Edit, Assign, New estimate and Mark lost are gone and the header offers Reopen. On the Estimates tab every version that was Draft, Sent, Finalized, Pending Approval, Approved or Rejected now reads Cancelled.
  4. To find it later on Opportunities, untick Open only (ticked by default, which hides lost rows) or set the Stage filter to Lost. A search by name, phone, email or company finds lost opportunities even with Open only ticked. The row shows the Lost badge and a Reopen icon (tooltip "Reopen: the buyer is back"); the Edit and Delete icons are gone.

What happens next

  • Every live estimate becomes Cancelled and any pending approval request is Withdrawn, so nothing waits in the approvals inbox. The timeline gets a line "Estimate v<n> cancelled: opportunity lost" per version, "Unit <number> released: opportunity lost" and "Parking slot <number> (<parking>) released: opportunity lost" for each hold let go, and "Lost: <reason>".
  • The unit held for the buyer (Reserved For Buyer) and the parking slots held with it go back to Available; the project's Structure and Parking tabs show them free again. For an allottee's purchase the unit stays Allotted to them.
  • The stage history (Stage history) records the move to Lost with your reason; the opportunity carries the reason and the date it was closed.
  • The seeded rule "Opportunity lost: tell sales management (system)" notifies the Sales Managers ("Lost: <name> (<project>)", "Reason: <reason>.").
  • Each cancelled estimate fires the seeded rule "Estimate cancelled: close its open tasks (system)": its Open and In Progress tasks, such as "Approve estimate for Unit <unit>: <name>", become Cancelled with "Closed automatically: estimate v<n> was cancelled." added to their description, so nobody keeps working on a dead estimate (Tasks).
  • The estimates stay on record: open any of them from the Estimates tab; each shows Cancelled, and none can be sent, approved or booked again.
  • If the buyer comes back, Reopen the lost opportunity: it returns as Lead and a fresh estimate is priced on a unit that is free then. Starting a new opportunity for the same contact and project instead shows a notice pointing to the lost one.

If something goes wrong

  • "Reason is required" under the field: type a reason before confirming.
  • Mark lost isn't shown and the header offers Open booking, or the dialog answers "This opportunity is booked. Cancel the booking to close it.": a booked opportunity is closed by cancelling the booking (Cancel a booking), which marks it Lost itself. See Opportunity is booked or lost: its stage decides (trouble.sales.opportunity-cannot-be-deleted).
  • "This opportunity is already marked as lost.": someone else lost it while your page was open; refresh. Same article.
  • Mark lost isn't shown on an open opportunity: your role lacks the Edit permission on Opportunities. See No permission (trouble.common.no-permission).
  • "Only a Lead without estimates can be deleted. Mark the opportunity as lost instead." when you tried Delete: the opportunity has had an estimate (even a cancelled or expired one); mark it lost as above.

Create an opportunity for a buyer's enquiry on a project, assign it an owner, log the calls, site visits and follow-ups on its timeline, and keep the requirements up to date until it is ready to be priced.

  • Cancel a bookingHow-to

Cancel a booking with the four-step cancellation wizard: see which demands are reversed, set the forfeiture and charges the rule suggests, set the refund, and confirm, which releases the unit and parking slots, marks the opportunity Lost and posts every entry in one go.

  • Split the entitlement and start the allottee's purchasesHow-to

Decide how the entitled area falls on each allotted unit and how much of the extra area the allottee pays for, then open a purchase per unit and price it through the usual estimate, approval and booking.

  • Opportunity stages, lead sources and system activitiesConcept

An opportunity moves through Lead, Estimate, Approval and Booked (or Lost) only through the actions taken on it; every move is written to its stage history and its timeline, where locked system activities sit beside the calls and visits the team logs.

  • Unit status lifecycle: available, reserved, allotted, held, booked, soldConcept

Where a unit stands right now, from Available through the rehab path (Reserved For Tenant, Allotted) or the sales path (Reserved For Buyer, Booked, Sold), who moves it and what each status blocks.

  • Estimate versions, price lock, overrides and the approval gateConcept

Every priced offer to a buyer is a numbered version of the opportunity: a Draft is edited in place, any later price change is a new version that supersedes the current one, the price is locked when finalized, and every estimate must be approved before it can be booked.

  • Opportunity cannot be deleted, marked lost, reopened or worked: its stage decidesTroubleshooting

Only a Lead with no estimates can be deleted; anything further along is marked lost instead. A booked opportunity is closed only by cancelling its booking, a lost one must be reopened before it can be priced or booked, and a buyer who comes back is reopened rather than entered again.

  • "No access" or "You do not have permission": your role lacks a permissionTroubleshooting

Every screen, button and picker is gated by a permission on a module; your role decides which you hold, so a missing one shows as a No access card, a refused action, a greyed-out button with a hover reason, or a picker that explains which permission it needs.
